Terms and Conditions 2025 Brookline Village Arts Festival

Arts Brookline is thrilled to announce the Brookline Village Arts Festival!  Please read the important information below before committing to the festival. Review the FAQ’s thoroughly, as they serve as the terms and conditions of the registration.

General Information:

  • The Brookline Village Arts Festival will take place on Saturday, May 3 from 11AM- 5PM (Rain date: Sunday, May 4). 
  • This event will take place along Station Street, which will be closed to traffic. The mall adjacent to the Brookline Village T stop may also be included in the event.
  • Spaces are 10’x10’.  Cost is $90 (full space), $60 (half space), $150 (organization/business), $100 (non-profit organization), and $30 (affordable space). We have a set amount of affordable spaces available and they are first come/first serve. Please write to brooklinevillageartsfestival@gmail.com for more information on how to register for an affordable space..
  • Registration for this event is required. Artists wishing to share a space must still register separately and can indicate they are sharing their space in the registration.

Set Up Info:

  • Set up begins at 9am and all cars must be removed by 10:30am. All vendors must have completed setup by 11AM. 
  • Please arrive at least two hours  prior to the event to set up. If arriving by car you should drop off your tents/tables and inventory, and then immediately move your car off the street. Cars must be removed from the street before tents and tables are set up, so we can keep a lane clear for fire trucks/ambulances, should there be an emergency in any of the buildings.
  • We ask that nobody disassemble their display before 5PM. After 5PM artist vehicles will be able to enter Station Street to pick up their things, which must be packed and ready to go before bringing your car to load. Please do not pull up your car until your stuff is all packed up and ready to be picked up to reduce congestion on Station Street. 
  • ArtsBrookline will provide on-site representatives who can assist you with your specific location information, bathroom location, as well as help those that need it with setting up tents and weights.  Representatives will be present throughout the day to answer questions. Spaces will be marked prior to your arrival. Please look for your assigned space to set up. 
  • You are responsible for bringing your own tent if you decide to bring one (with a 35+ lb. weight for EACH tent leg to protect the safety of everyone) and/or table that will fit comfortably inside your assigned 10ftx10ft space. 
  • As a reminder, artists are responsible for accepting payments on their own behalf. Please come prepared to accept payments via cash, card, or Venmo / Cash App.

Marketing Materials and Social Media Promotion:

We want the BVAF to attract as much of the greater community as possible! This year we have two spectacular designers and a broad social media campaign. There will be a guide to social promotion after registration. Arts Brookline will be printing flyers and brochures/maps and they will be made available for distribution to all of the artists.

The Web Gallery and Participating Artist Pages:

Every participant who registers for the festival is featured on the Brookline Village Arts Festival ArtCall website where your uploaded images are featured on the web gallery. In addition, each artist gets a unique Participating Artist Page, where their images and links are available for the public to view.

Parking Information

There will be parking on Station Street past the road barrier and then along Kent Street. Also the Kent Street parking lot is open to anyone on the weekends.There are other lots nearby but people will need to keep making sure they renew the parking after the parking hours limit.

Rain Date:

We are hoping for good weather, but if we do need to postpone the event to Sunday (May 4) for weather reasons, we will let you know by Friday (May 2) night at 5PM. Please check your emails to make sure you are informed with up-to-date information. In the event of a postponement due to weather, the website will be updated to share this information with the public.

Trash:

BKOS is adopting a carry in/carry out policy for trash. There will be no trash bins available as we will be saving the public trash cans for patron use only. Let's leave Brookline Village as beautiful as we found it, so please plan accordingly.

Lost Items:

BVAF is not responsible for lost/stolen items. We encourage artists to support each other and keep an eye on each other's things. As always, please do not hesitate to reach out if you have any questions about the day of the event. We look forward to seeing you soon!
